Job Description

Job summary
To provide leadership and operational oversight of warehouse and inventory management functions to ensure
accurate receipt, storage, handling, and dispatch of materials and finished goods. The position ensures that all
warehouse activities — from raw material intake to finished goods dispatch — are executed efficiently, safely,
and in compliance with company policies, quality standards, and statutory requirements. The role supports
production continuity, cost control, and customer satisfaction through effective space utilisation, process
optimisation, and data integrity in inventory management systems.
Roles and responsibilities
1. Warehouse Operations Management
• Oversee daily warehouse operations including receiving, storage, picking, packing, and dispatch of
goods.
• Ensure that all materials and products are handled efficiently and according to quality and safety
standards.
• Plan and coordinate warehouse space utilisation, layout, and storage systems to optimise capacity and
workflow.
• Maintain proper labeling, identification, and traceability of all inventory items.
• Monitor turnaround times for goods receipts and dispatch to minimise bottlenecks.
• Implement and enforce warehouse standard operating procedures (SOPs).
2. Inventory Control & Accuracy
• Oversee accurate and timely recording of all stock movements in ERP or inventory systems.
• Conduct regular cycle counts and coordinate full stock takes, reconciling variances promptly.
• Ensure proper documentation for all goods received and issued, including goods received notes (GRNs)
and delivery notes.
• Analyse inventory data to identify slow-moving, obsolete, or excess stock and recommend corrective
measures.
• Work closely with Production, Procurement, and Finance to ensure real-time visibility of stock levels
and consumption.
3. Receiving & Dispatch Coordination
• Supervise unloading, verification, and inspection of incoming raw materials and supplies.
• Coordinate timely issuance of materials to production in line with approved requisitions and
production plans.
• Ensure proper packaging, documentation, and loading of finished goods for customer dispatch.
• Liaise with transport, logistics, and quality control teams to ensure on-time and accurate delivery of
goods.
• Maintain documentation and records for inbound and outbound shipments for audit readiness.
4. Systems, Process & Performance Management
• Oversee implementation and usage of ERP or warehouse management systems (WMS) for efficiency
and accuracy.
• Develop and monitor warehouse KPIs for productivity, accuracy, and service levels.
• Identify process inefficiencies and recommend continuous improvement initiatives.
• Support automation, barcode systems, and digital tracking tools where applicable.
• Ensure compliance with company policies on stock handling, authorisation limits, and access control.
5. Health, Safety & Housekeeping
• Enforce adherence to occupational health, safety, and environmental regulations within the
warehouse.
• Ensure safe operation of handling equipment (forklifts, trolleys, pallet jacks) and conduct regular
equipment inspections.
• Maintain high standards of cleanliness, orderliness, and 5S within all warehouse areas.
• Ensure staff are trained on emergency procedures, fire safety, and proper handling of hazardous
materials.
• Investigate and report safety incidents and implement corrective actions.
6. People Leadership & Team Development
• Supervise and mentor warehouse officers, clerks, and support staff to achieve operational excellence.
• Plan work schedules, assign tasks, and monitor team performance against targets.
• Build capacity within the team through training, coaching, and performance feedback.
• Foster teamwork, accountability, and a continuous improvement mindset.
• Lead daily or weekly briefings to review safety, productivity, and priorities.
7. Compliance, Reporting & Audit
• Ensure full compliance with company inventory control policies and internal audit requirements.
• Maintain accurate, complete, and auditable documentation for all warehouse transactions.
• Collaborate with internal and external auditors during stock audits or investigations.
• Prepare and present monthly warehouse performance reports, including inventory accuracy,
shrinkage, and stock ageing
