Job summary
To provide high-level executive, administrative, and strategic support to the Chief Executive Officer in
managing the affairs of the CEO’s office, ensuring effective coordination of corporate, Board, and crossdepartmental engagements. The role serves as a trusted advisor, liaison, and communication bridge between
the CEO, senior leadership, Board members, partners, and external stakeholders.
The position ensures efficient planning, prioritization, and follow-through on the CEO’s directives and
commitments, maintaining confidentiality, professionalism, and operational excellence at all times.
Roles and responsibilities
1. Executive Office Management
• Manage the CEO’s schedule, appointments, and travel arrangements, ensuring alignment with
strategic and operational priorities.
• Coordinate the preparation, review, and distribution of meeting materials, briefs, and presentations.
• Screen and prioritize incoming correspondence, emails, and calls, ensuring timely responses and
escalation of urgent matters.
• Maintain a structured filing and records management system for the CEO’s office, including
confidential documents, Board papers, and contracts.
• Ensure the smooth day-to-day running of the CEO’s office with minimal disruption.
2. Board and Governance Support
• Coordinate logistics, documentation, and communication for Board and Committee meetings.
• Prepare and circulate Board packs, meeting agendas, resolutions, and minutes in collaboration with
relevant departments.
• Track action items and ensure timely follow-up and reporting to the CEO and the Board.
• Maintain confidentiality and compliance with corporate governance protocols in handling Board
documentation.
3. Strategic Planning & Coordination
• Support the CEO in monitoring implementation of strategic initiatives, annual plans, and key
performance indicators (KPIs).
• Liaise with divisional heads to track progress on strategic and operational priorities, preparing status
briefs for the CEO.
• Consolidate departmental and project reports for executive review and decision-making.
• Anticipate CEO needs by gathering and synthesizing information for upcoming meetings, decisions, or
stakeholder engagements.
4. Communication, Liaison & Representation
• Act as the first point of contact between the CEO’s office and internal/external stakeholders.
• Draft official correspondence, speeches, talking points, and communications on behalf of the CEO.
• Represent the CEO in selected meetings, preparing summaries and briefing notes.
• Facilitate internal communication from the CEO’s office to senior managers and staff, ensuring clarity
and consistency of messaging.
• Maintain professional relationships with partners, clients, regulators, and Board members on behalf of
the CEO.
5. Information Management & Reporting
• Maintain databases and dashboards on key CEO priorities and decisions.
• Support analysis and synthesis of information for executive reports, presentations, and performance
reviews.
• Oversee preparation of executive summaries, meeting notes, and follow-up matrices.
• Handle confidential information with discretion and ensure data integrity in all communications.
6. Event & Protocol Management
• Plan and coordinate high-level meetings, corporate events, and stakeholder engagements involving
the CEO.
• Manage travel itineraries, protocol arrangements, and guest logistics for local and international events.
• Ensure effective coordination of visits by partners, investors, donors, or dignitaries to the Company.
• Oversee arrangements for press or media interactions involving the CEO in collaboration with the
Corporate Communications team.
7. Leadership, Supervision & Office Administration
• Supervise Executive Assistants and administrative staff supporting the CEO’s Office.
• Establish standards for correspondence, records, and workflow management across the executive
support function.
• Foster teamwork, confidentiality, and professional service delivery in all executive support operations.
• Manage the CEO’s office budget and oversee procurement of related supplies and services.
